What is Notion?

Notion is a connected workspace that combines notes, docs, wikis, databases, and project management into one platform. Founded in 2013, it now has 30M+ users and is used by teams at companies like Nike, Pixar, and Figma. Its block-based editor lets you build anything from simple notes to complex project trackers. Notion AI adds writing assistance, Q&A, and autofill capabilities.

Pros

  • Infinitely flexible — build any workflow with blocks and databases
  • Beautiful, clean interface that makes documentation enjoyable
  • Strong free plan for individuals with unlimited pages
  • Notion AI for writing, summarizing, and answering questions
  • Templates marketplace with 10,000+ community templates

Cons

  • No offline mode without workarounds — needs internet

  • Search is improving but still not as fast as dedicated apps
  • Notion AI costs extra at $10/user/month

Frequently Asked Questions

Is Notion free for personal use?
Yes. Notion offers a free plan for individuals with unlimited pages, blocks, and up to 10 guests. The free plan includes Notion AI (limited), databases, and all core features. Paid plans start at $10/month for Plus features like unlimited file uploads and 30-day version history.
Can Notion replace project management tools?
Notion can handle basic project management with databases, Kanban boards, timelines, and calendar views. However, it lacks native Gantt charts, time tracking, and resource management found in dedicated PM tools like Asana or ClickUp. Best for teams that need docs + light PM in one place.
Is Notion better than Obsidian?
Notion is better for team collaboration and all-in-one workspaces. Obsidian is better for personal knowledge management with local-first storage and powerful linking. Notion is cloud-based and easier to share; Obsidian is faster and more private.

Editor's Take

Notion is my personal daily driver and has been for three years. It replaced Evernote, Google Docs, and Trello for me. The block-based system clicks once you understand it — you can build genuinely anything from a simple grocery list to a complex CRM. My one frustration is performance with large databases; once you pass 500+ rows, things get sluggish. For team wikis and documentation, nothing else feels as polished. For heavy project management, pair it with a dedicated tool. Notion is not the best at any one thing, but it is the best at being good at everything.
