Easy2-4 hoursProject Management

This is one of the easiest SaaS migrations. ClickUp has a built-in Asana import tool. It pulls projects, tasks, subtasks, assignees, due dates, and attachments automatically. The actual import takes 10-30 minutes. Most of your time goes to configuring ClickUp views and training your team.

Migration Checklist

Step 1: Export Your Data from Asana (Optional Backup)

  1. Open any Asana project and click the dropdown arrow next to the project name
  2. Select Export → CSV
  3. Repeat for each project you want to back up
  4. Save all CSVs in a folder as your safety backup

Note: This step is optional because ClickUp's built-in import connects directly to Asana. But always have a backup.

Step 2: Plan Your ClickUp Structure

  1. ClickUp uses: Workspace → Space → Folder → List → Task
  2. Asana "Teams" = ClickUp "Spaces"
  3. Asana "Projects" = ClickUp "Folders" or "Lists"
  4. Asana "Sections" = ClickUp "Statuses" or "Groups"
  5. Decide which Asana projects to migrate and which to archive

Step 3: Set Up ClickUp and Import from Asana

  1. Create your ClickUp account at clickup.com
  2. Go to your workspace Settings → Import/Export → Import
  3. Select Asana from the import options
  4. Authorize ClickUp to connect to your Asana account
  5. Select which Asana projects to import
  6. Map Asana projects to ClickUp Spaces/Folders
  7. Click Start Import and wait (10-30 minutes depending on data size)

Step 4: Verify Imported Data

  1. Check that all projects appear in the correct Spaces
  2. Verify task counts match between Asana and ClickUp
  3. Confirm assignees were mapped to the correct ClickUp users
  4. Check that due dates, descriptions, and subtasks transferred
  5. Verify file attachments are accessible

Step 5: Configure Views and Automations

  1. Set up Board view (similar to Asana Board), List view, and Calendar view
  2. Customize task statuses to match your workflow
  3. Recreate Asana Rules as ClickUp Automations: Space Settings → Automations
  4. Set up Custom Fields if you used them in Asana
  5. Configure notification preferences for your team

Step 6: Test Everything

  1. Create a test task, assign it, and add a due date
  2. Test automations with real workflow scenarios
  3. Verify integrations (Slack, Google Drive, GitHub) work
  4. Check mobile app functionality

Step 7: Notify Your Team

  1. Share ClickUp's getting started guide with your team
  2. Hold a 30-minute walkthrough showing key differences from Asana
  3. Emphasize: ClickUp has more features so start simple and expand

Step 8: Run Parallel for 1-2 Weeks

Keep Asana in read-only mode. All new tasks go into ClickUp. If your team finds missing data, you can still access it in Asana and manually copy it over.

Step 9: Deactivate Asana

  1. Export all remaining Asana projects as CSV for archival
  2. Go to Admin Console → Billing → Cancel Plan
  3. Remove team members from Asana workspace
